POSITION: Billing & Data Specialist
STATUS: Non-Exempt (Hourly), 32-40 hours/week
PAY RANGE: $45,760 annually ($22/hour)
LOCATION: 97900 Shopping Center Ave #31 Brookings OR 97415
TEAM(S): Health Programs, Administrative
REPORTS TO: Executive Director

The Billing & Data Specialist supports the administrative, financial, and programmatic needs of Brookings CORE Response’s Health Programs. This role is responsible for maintaining and updating the Electronic Health Record (EHR) system, processing billing for Medicaid and other insurers, and supporting data collection and reporting for grant and program oversight. They work closely with the Health Programs Manager to develop and submit accurate progress and outcome reports, and they coordinate with the Finance Director to ensure timely and accurate invoicing and reimbursement. They also support the Executive Director with data-related components of grant writing and compliance reporting. The Billing & Data Specialist ensures that all data systems are maintained with a high level of accuracy, integrity, and confidentiality.
This is not a supervisory position.
Duties & Expectations
- Maintain and update all relevant client data in the Electronic Health Record (EHR) system.
- Generate and submit insurance claims and invoices for billable services, working closely with the Finance Director.
- Track and manage all health program billing activities, ensuring compliance with Medicaid and other payer requirements.
- Run reports from the EHR system and other data platforms to support internal quality review, financial tracking, and program reporting.
- Maintain the check-in and attendance tracking system at the Peer House Navigation Center to ensure billing readiness for eligible services.
- Compile demographic and service data for grant reports, outcome tracking, and internal program evaluation.
- Collaborate with the Health Programs Manager to prepare accurate and timely program performance and outcome reports.
- Work with the Executive Director to support data needs for grant applications, audits, and compliance reporting.
- Ensure confidentiality, data integrity, and compliance with HIPAA and other applicable standards.
- Train and support Health Programs staff in using the check-in system and documentation procedures related to billable services.
- Stay informed of changes in billing requirements, payer rules, and reporting protocols.
Necessary Skills
- Technical Proficiency: Comfort with EHR systems (such as SimplePractice), insurance billing software, and spreadsheet/database tools.
- Analytical Thinking: Capable of identifying patterns, discrepancies, and opportunities for process improvement.
- Problem-Solving: Resourceful in resolving billing issues or data inconsistencies.
- Adaptability: Comfortable learning new systems and adjusting to updates in billing, reporting protocols, and policy changes.
- Quality Assurance: Conduct regular checks to verify the integrity and quality of data entered, making necessary corrections or adjustments as required.
- Collaboration: Work closely with team members to coordinate data entry efforts and address any issues or concerns that arise.
- Ethical Standards: Maintain confidentiality and adhere to ethical guidelines in handling sensitive client information during the data entry process.
Requirements
- COVID-19 immunization (first round at least)
- Two (2) years of experience in medical billing within the last five (5) years
- Not on the Medicaid exclusion list
